A practical tender document checklist
Turn the buyer’s instructions into a traceable register before polishing the response.
Build a requirements register
For every requirement, record the source page, requested evidence, owner, deadline and status. Separate mandatory conditions from scored questions and optional supporting material. Use the buyer’s clarification process for genuine ambiguity.
Check the evidence
- Legal and trading names are consistent.
- Policies are current, relevant and appropriately approved.
- Certificates and insurance show the right entity, dates and requested cover.
- Case studies are relevant and disclosed with permission.
- Carbon evidence is the specific report, plan or questionnaire requested.
Prioritise by consequence
Classify gaps as potential submission blockers, points needing clarification, or presentation improvements. Give every open item an owner and deadline. Do not spend the last hour polishing a cover page while a mandatory attachment is missing.
Final checks
Confirm filenames, formats, upload sizes, word limits, signatures and the exact deadline and time zone. Open the exported files. Keep the portal receipt: a saved draft is not necessarily a submitted bid.
